Overview
Smart Leave Planner (“we”, “us”) does not have user accounts and does not run a server-side database of your plans. This page explains, plainly, what happens to your data when you use the app at smartleave.in.
Your plan data stays on your device
Everything you enter — your company's leave policy, imported or manually added holidays, personal preferences, and the leave plan you build — is saved only in your browser's local storage. It is never sent to, or stored on, our servers, and we have no way to read it. Clearing your browser data or local storage for this site permanently deletes it, since we keep no copy.
Uploading a holiday calendar (AI extraction)
If you choose to upload a PDF or image of your company's holiday calendar, the file is sent from your browser to our /api/extract-holidaysendpoint, which passes it to Google's Gemini AI model to read the holiday names and dates out of the document. This happens transiently for the sole purpose of extracting that list: the file and the AI response are used to return structured holiday data to your browser and are not retained by us afterwards. This step is optional — you can always add holidays manually instead.
Share links
When you generate a shareable link for your leave plan, the plan data is compressed and encoded directly into the link's URL — it is not uploaded to or stored on a server. Anyone with the link can view the encoded plan, so treat it the same way you would any document containing your leave dates before sharing it.
Cookies, analytics, and ads
We only load Google Analytics 4 and Google AdSense — and only set the cookies associated with them — after you choose “Accept All” in the cookie banner. If you choose “Reject All”, neither is loaded and no analytics or advertising cookies are set. Google Analytics helps us understand aggregate usage of the site; Google AdSense may use cookies to show relevant ads. You can change your choice at any time using the “Cookie settings” link in the footer, which reopens the cookie banner.
Error monitoring
We use Sentry to capture technical error reports (such as stack traces and the page you were on) when something breaks, so we can fix bugs. This is limited to diagnostic and technical information used to keep the app working — it is not used for advertising or combined with analytics profiles.
Children's privacy
Smart Leave Planner is a workplace planning tool not directed at children, and we do not knowingly collect personal information from children.
Changes to this policy
If this policy changes, we'll update the “Last updated” date at the top of this page.
